About the Role
Under the supervision of the Manager of Student Data & Information Services, serves as the Lead for district registration processes. Performs administrative and customer service duties related to the enrollment of students according to established CDE and Douglas County School District (DCSD) policies, while also overseeing the Summer Registrar Support staff and budget.
Responsibilities
- Records Management: Receive and process requests for student records upon proper authorization in compliance with district, state, and federal guidelines. Scan permanent records into the digital repository
- Registration & Document Verification: Enroll new students for schools participating in the On-Line Registration (OLR) process into the Student Information System (Infinite Campus). Verify authenticity of legal documents to establish eligibility (residency proofs, divorce decrees, parenting plans)
- Data Integrity & Reporting: Serve as the point person for questions regarding District Enrollment Counts. Audit and monitor attendance and verification for October Count. Responsible for the data integrity of student information in the Student Information System
- Student Status Processing: Disseminate information to process re-activated students, withdrawn students, address changes, intra-district transfers, and School of Choice changes
- Summer Support Management: Train and schedule the Summer Registrar Support team for OLR. Maintain the Summer Support Staffing budget to ensure that it is not exceeded
- Retention & Compliance: Collaborate with neighborhood schools on auditing record retention and removal. Implement data retention protocols as required by district, state, and federal guidelines
- Enrollment Leadership & Process Improvement: Continuously evaluate the efficacy of Online Enrollment (OLR) and make suggestions for improvement when needed to ensure a streamlined experience for families and schools
- Collaboration & Support: Provide training and coverage support to neighborhood schools. Collaborate with receiving schools on transitioning students from Central Enrollment. Collaborate on guardianship, home study, foreign exchange, and emancipated student cases.
Requirements
- High School or Equivalent
- Advanced oral, written and interpersonal communication skills with the ability to tailor communications for varying levels of technology literacy.
- Collaborative team player
- Demonstrates strong troubleshooting and issue research skills to provide first-contact resolution.
- Effective oral and written communication skills
- Effective verbal and written English communication skills and a demonstrated ability to read and comprehend written/graphic and oral instructions
- Maintains a generally positive attitude
- Observes all District policies and procedures
- Strong organizational and time management skills
Compensation
- Base pay: $24.84 - $33.69/hr
- Career range upper: $42.54/hr
